REQUEST FOR CLARIFICATIONS RESPONSES
- Could you specify the exact dimensions of the LED screens required in the conferencing rooms?
Response :We are considering three LED walls, each comprising 24 panels, for a total of 72 panels, along with related support structure.
- Regarding the five side rooms, the tender mentions the need for microphones but does not detail quantity or type. Could you confirm both the number and preferred type of microphones needed?
Response:We are looking for a Logitech rally bar or equivalent video conference equipment plus accessories for 3 rooms (2 rooms already covered by the hotel)
- Will there be a requirement to facilitate presentations through Zoom, and if so, in which rooms?
Response:All rooms, including the plenary room, drafting room, and five additional rooms, should be equipped for meetings via Zoom.
- Should all interpretation services be configured for hybrid delivery, or is there also a requirement for in-person interpretation?
Response:We have full interpretation services provided from Geneva, Switzerland. We need you to supply devices and accessories to enable us to hear the Geneva interpreters in the room in Nairobi in six languages via Zoom. We don't have any interpreters in the room.
- Is interpretation limited to the plenary and drafting rooms, or will it also be needed in the side rooms?
Response:The interpretation from Geneva is only for the plenary room and the drafting room, with the plenary running from approximately 9:00 AM to 6:00 PM and the drafting room from approximately 5:00 PM to midnight.
- The tender indicates a push-to-talk microphone per delegate in the plenary (150-200 delegates) and drafting room (60-70 delegates), yet in the contractors detailed renumeration it notes a total of 210 push-to-talk microphones. Could you clarify the exact number required?
Response:We now expect to have 150 delegates in the plenary room and 60 in the drafting room, totaling 210 push-to-talk microphones. Additionally, we would like to have 3 standalone microphones in the plenary room and 3 in the drafting room.
- Would it be possible to provide the floor plan and seating arrangements for each room to optimize cable routing and equipment placement?
Response:We expect to have half of the room arranged in a circle with 40 seats, and the other half in a classroom-style seating arrangement. We will provide the exact floor plan and seating arrangements in due course to optimize cable routing and equipment placement.
